How the Digital Exeat Process Works
From request to return — every step is tracked, logged, and communicated automatically. No paper. No confusion.
1. Student Submits Exeat Request
The student (or housemaster on their behalf) submits a digital exeat request — stating destination, reason, departure date, and expected return.
2. Housemaster Reviews & Approves
The housemaster reviews the request on any device and approves or denies it with a note. All decisions are time-stamped and saved to the student's record.
3. Parent Receives Instant SMS & Email
On approval, the system instantly sends an SMS and email to the parent — confirming their child's departure, destination, and expected return date and time.
4. Return is Recorded at the Gate
When the student returns, the gate staff marks them back in the system. If they are overdue, an alert is triggered and the parent is notified immediately.
5. Full Log & Audit Trail Saved
Every exeat — approved, denied, or overdue — is permanently logged per student and available for review by school management at any time.
